Primary purpose:

The Training & OQ Systems Coordinators primary role will manage the configuration, setup, and information in the Energy World Net system along with connectivity to ISNetWorld and Maximo. They will be responsible for tracking costs, assisting with forecast and budget analysis, and providing purchasing and coding support. This role will also be responsible for future expansions and integration of the OQ and Training functions into the Maximo system. This position reports to the T&OQ Manager.

Essential duties and responsibilities:

  • Maintain Energy Worldnet system, including entering and closing out compliance tasks and distributing inspection lists as requested.
  • Manage the overall health and reliability of the Energy World Net system and potential new OQ programs (OQSG, NCCER and MEA) for contractors and its connectivity to ISNetWorld.
  • Track Operator Qualifications and training for all field personnel.
  • Manage OQ and training related tasks, including task loading, updating and removal.
  • Support continuous improvement of processes and automation related to management of OQ and training tracking.
  • Provide documentation support in preparation for internal and external audits, including PHMSA inspections.
  • Code and process invoices for payment and track invoices, statements, and expense accounts as needed/required. Enter invoices into system for payment, maintain files of paid invoices as needed/required.
  • Assist with purchasing, receiving verification, handling and shipping of operating, maintenance, and construction materials and supplies. Set up new vendors. Complete, monitor, and track Request for Material (RFM) or Request for Services (RFS) and Purchase Orders (PO).
  • May be asked to assist in preparation, monitoring and reporting of expense and capital budget, monthly variance explanation and forecasting. Track monthly spending and provide forecast and variance information, as needed.
  • Monitors training personnel records to ensure employees have met all company training requirements for company and regulatory compliance.
  • Maintain basic understanding of compliance codes.
  • Assist with preparation for compliance audits.
  • Maintain compliance records.
  • Initiate, complete, verify and/ or distribute computer-generated reports and correspondence, including but not limited to timekeeping and labor analyses, vehicle and fleet tracking, expense tracking, and credit card statements and reconciliations.
  • Will be actively engaged with the OQ task list process for new construction assets, new commodities, and acquisition assets in hydrogen, ammonia, CO2, and other products related to decarbonization.
  • Actively support TopSafe and the region's safety program initiatives.
  • Prepare routine office, regional and company-wide correspondence.
  • Operate standard office equipment.
  • Deal with a wide variety of people with tact, courtesy and professionalism.
  • Speak clearly, both in person and by telephone, using a high level of verbal skills and listen carefully.
  • Maintain a regular, dependable attendance and a consistently high level of performance.
  • Will work non-traditional hours as needed.
  • Maintain a high regard for personal safety, for the safety of company assets and employees, and the general public.
  • Other daily, weekly, monthly or special project duties as identified and defined.

MINIMUM REQUIREMENTS:

EDUCATION:

  • Associate degree in Business, Accounting, Computer Science, or related discipline OR
  • A High School diploma or equivalent AND a minimum of 3 years of direct work experience may be considered a substitute for a degree.

EXPERIENCE/SPECIFIC KNOWLEDGE:

  • A minimum of three (3) years direct work experience.
  • Proficiency in software applications utilized by the Company such as GP Dynamics, Enablon databases, EWN, ISN, etc.
  • Good basic math skills (addition, subtraction, multiplication, division, decimals, fractions, etc.).
  • Advanced office equipment skills (phone, files and organizational skills, etc.).
  • Knowledge of crude oil/ natural gas/ saltwater disposal terminology.
  • Process oriented and able to maintain multiple tasks.
  • Knowledge of FERC Standards of Conduct (Order 497).
  • Intermediate proficiency level in MS Office applications that may include but are not limited to Excel, Word, and Outlook.

CERTIFICATIONS, LICENSES & REGISTRATIONS:

  • Must possess and maintain a valid driver's license and a driving record satisfactory to the company and its insurers (for travel).

WORKING CONDITIONS:

  • Occasional overnight travel may be required.
  • Infrequent overtime may be required.
  • May be required to carry a cell phone and be available to respond during working and non-working hours.
  • The successful candidate will be required to clear a drug screen and a complete background check, including a credit report for certain positions, after an offer has been extended and prior to being employed.

PREFERRED EDUCATION, EXPERIENCE, CERTIFICATIONS, COMPETENCIES, SKILLS & ABILITIES (above the minimum requirements, not required but advantageous in this position):

  • Bachelor's degree from an accredited institution in Business or a related discipline.
